AYHR collects personal data relating to its clients to manage any work undertaken in relation to them. AYHR is committed to meet its data protection obligations.
What information will AYHR collect?
AYHR will only collect information about you or your organisation when you contact AYHR and provide this information. This may include:
- your name, address and contact details, including email address and telephone numbers, and gender;
- Details of any messages or information within your request for HR support which may include personal details that you freely provide to AYHR and by doing so you consent to the information being kept by AYHR for the sole purpose of undertaking the service requested.
- Details that you subsequently provide freely and willingly to AYHR, by engaging AYHR to undertake HR consultancy work for you or your organisation.
AYHR receives this information from you in a variety of ways. For example, from the information you provide via the AYHR Website, emails and or from correspondence with you; or through interviews, meetings, telephone calls, texts or other engagements
Data is only stored by a hardcopy securely filed and in an IT system(including AYHR emails).
Time Frames
Any hard copy of personal data will be shredded and disposed within of 6 months of the completion the project, in addition, personal data on any IT system will also be deleted within 6 months of the completion of the project, notwithstanding any legal requirement to retain the personal data.
Why does AYHR process personal data?
AYHR needs to collect and use data to enter into a client engagement with you and or your organisation to enable the provision of the HR service you request and or engage AYHR to undertake.
You can withdraw your consent at any time to AYHR holding personal data for the duration of the HR service project and up to 6 months after (by which time the data will be deleted or destroyed (see above) by notifying AYHR of this in writing.
Who has access to data?
Your information may be shared within the organisation in which you work. (please see your workplace privacy statement on how this data may be used) Otherwise information will not be shared out with AYHR
How does the organisation protect data?
AYHR takes the security of your data seriously and has controls in place to try to ensure that your data is not lost, accidentally destroyed, misused or disclosed.
For how long does the organisation keep data?
AYHR will hold your personal data for a period of up to 6 months from the end of the HR service or project undertaken.
Your rights
As a data subject, you have a number of rights. You can:
- access and obtain a copy of your data on request;
- require AYHR to change incorrect or incomplete data;
- require the AYHR to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
- object to the processing of your data where AYHR is relying on its legitimate interests as the legal ground for processing; and
- ask AYHR to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override the organisation’s legitimate grounds for processing data.
